Prevent Confidential Data From Leaving
the Organization
By content checking attachments for words and
file types, you can prevent confidential documents
from leaving the organization. Since Policy Patrol
can also check internal emails, it can even prevent
confidential messages and attachments being sent
to unauthorized individuals within the company
itself.
Block Illegal or Offensive Emails From
Leaving Your Network
Protect your company from libel and other lawsuits
by checking emails before they are sent out. Automatically
block emails with offensive or illegal words and
send a message report of intercepted emails to
managers for review.
Block Cc and Bcc Mass Mailings
Have you ever had an employee who thought it might
be a good idea to send out one email with hundreds
of your customers’ email addresses in the To:,
Cc; or Bcc: field? If not, you are forewarned;
Any employee using Outlook is just a click away
from exposing your valuable customers’ email addresses,
jeopardizing their privacy and exposing your company
to a possible privacy breach lawsuit. By blocking
messages with more than the allowed number of
recipients, Policy Patrol can make sure that these
kinds of emails are stopped before they can do
any damage to your company.
Gain Insight Into Your Company’s Email
Usage
By looking at reports showing sent and received
attachment types and sizes, rules triggered and
traffic per user or domain, you can gain valuable
insight into how your email system is being used
and where the bottlenecks are.
Auto Replies and Lead Follow Up
Policy Patrol Mail Server Tools allows you to
configure auto replies and to send scheduled lead
follow up after a specified time frame. For instance,
one week after a prospect downloads a white paper,
you could send a scheduled follow up asking whether
they thought the white paper was useful.
Ensure a Safe Work Environment
Let Policy Patrol protect your employees by screening
emails for inappropriate or discriminatory content.
Although most email filters only check external
mails, Policy Patrol can also content check internally
sent emails (when installed on Exchange Server
2007/2003/2000). Inappropriate emails sent between
co-workers on the internal network can be a direct
cause for employees feeling unsafe or harassed
in the work place.
Monitor Email Policy Violations
View reports on which users breached which email
policy rules and when. Configure rules to automatically
notify employees and managers when breaches occur
and optionally place employees on a warning list.
Protect Against Dangerous Attachments
& Viruses
Check emails for dangerous attachment types and
automatically block or add a warning to emails
with a tag or disclaimer. Use the Kaspersky Anti-virus
add-on (optional) to prevent viruses from reaching
your mailbox. Even if you already have a file
scanner or email anti-virus solution, it is still
a good idea to add another protection layer at
the SMTP level to stop any viruses before they
reach your mail server.
Email Backup
Need a backup of your emails? Want to recover
a deleted email? Policy Patrol Mail Server Tools
offers email backup to a Microsoft SQL Server
database and allows you to retrieve and restore
messages to your mailbox. Note that Policy Patrol
can only backup emails that are sent and received
after the product is installed. If you require
archiving of emails from the information store,
you require Policy Patrol Archiver.
Compression at Server Level
The culprit for many network slowdowns is large
files sent to and from the network as attachments.
Policy Patrol Mail Server Tools allows you to
compress and decompress your users' email attachments
at the server level-without any user intervention.
This provides the advantages of compression without
user hassles and the lost productivity zipping
and unzipping files.
Email management
Policy Patrol Mail Server Tools can also help
you simplify otherwise manual tasks, such as automatically
adding/removing attachments, compressing/decompressing
attachments, changing From:/Reply to: address,
printing emails, running a custom application
for specific emails, sending a blind copy when
an email meets conditions, adding an X-header,
removing read/delivery receipt requests, and more.
